Terms & Conditions – Camp

These terms and conditions outline the rules and regulations for the use of Antwerp Powerchairhockey Collective VZW’s Website, located at www.aphcollective.be.

ART. 1/ REGISTRATION:

You can register for the camp using a form that is shared on our communication channels.

ART. 2/ INFORMATION OBLIGATIONS

In order for the registration to proceed correctly, it is necessary that the participant correctly provides the necessary and requested information to APHC.

The participant is obliged to provide the correct information when registering online.

If incorrect information is provided to APHC, APHC reserves the right to immediately cancel participation or charge additional costs within 5 working days after discovering the incorrect information.

The participant declares that he has been informed that for travel outside Belgium he must always be in possession of at least the following documents:
• Identity card or passport
• For minors: A written authorization signed by a parent or guardian
• The details of his travel assistance insurance

Those documents specifically required for entry or residence in the destination country and the countries crossed to reach the destination.

ART. 3/ PAYMENT TERMS

PAYMENT:
The amount you have to pay depends on your choices when registering at the camp. This amount is made up of:
⁃ Stay
⁃ Activity package
⁃ 3 meals per day
⁃ Accident insurance
⁃ Accommodation and meals for a supervisor that you must provide yourself.

The payment method is whatever you prefer. We work with more than 5 payment methods.

PAYMENT TERM:
APHC invoices must be paid within 30 days of the invoice date. The full amount must be paid 6 weeks before the start of the camp. If the invoice was drawn up less than 30 days before the start of the camp, payment must be made immediately and must be received by APHC no later than before the start of the camp. The consequences of non-payment range from an administrative fine to exclusion of the participant from the camp.

PAYMENT METHOD:
Complete:
By default, payment is made in one go. If the amount exceeds a certain amount, we may determine that an advance payment is made first before paying the rest of the amount.

Broken down:
You can also choose to split the amount into several parts, then you can pay in 3 parts with Klarna or with Riverty when you scan the code on the invoice.

ART. 4/ CANCELLATION

Cancellation by the participant before the start of the camp:
If the participant wishes to cancel, he/she must notify APHC in writing (by e-mail or registered mail). Cancellation is possible free of charge up to 14 days after receiving the invoice or if the activity starts within this period until the start of the camp and must be done by email.

The following cancellation procedure with associated costs then applies:

  • 10 weeks before the start of the camp: 0% of the invoice amount
  • More than 30 days before the start of the camp: 25% of the invoice amount.
  • Within 30 days before the start of the camp: 50% of the invoice amount.
  • Within 8 days before the start of the camp: 100% of the invoice amount.

Cancellation by ‘APHC’:
The organization reserves the right to cancel the camp in the event of force majeure, insufficient registrations or for safety reasons. In the event of cancellation, the full registration fee will be refunded within 30 days.

  • Too few registrations: If there are insufficient participants to make the camp profitable or to guarantee quality, the organization may decide to cancel the camp.
  • Force majeure: In the event of unforeseen circumstances such as natural disasters, extreme weather conditions, strikes, pandemics or other events beyond the control of the organization that make the execution of the camp impossible.
  • Safety: If the safety of the participants is jeopardized, for example due to an unexpected health crisis or a serious threat to the location, the organization may decide to cancel the camp.
  • Guidance: When there are insufficient qualified supervisors available to ensure that the camp runs safely and successfully.

ART. 5/ ACCEPTANCE OF REGISTRATION

Every registration application must be accepted by APHC before the registration is final. How much time we have for this is determined individually per camp. After registration you cannot automatically participate in our activities, but you must be selected based on predetermined conditions. If you are accepted, you will be notified by email. If there is a refusal, you will also receive an email with motivation.

ART. 6/ LIABILITY

Liability of the participant:
The participant is held liable for all damages resulting from failure to fulfill his contractual obligations. The participant is also held liable for all non-contractual damage caused by his/her actions and (moral and/or material) damage caused to third parties, goods of third parties or goods of APHC.
If the participant, through his or her behavior or actions, compromises the safety or integrity of APHC, its staff, supervisors or other participants or supporters, APHC has the right to immediately exclude the participant from further participation without being entitled to any compensation or reimbursement of part or all of the participation price and selected options. All associated costs will be borne by the participant in question.

Liability of ‘APHC’:
APHC is obliged to comply with its contractual obligations unless:

  • There is force majeure or an extraneous cause.
  • A participant or third party is responsible for the shortcoming in the execution of the contract.

Unless one of the aforementioned exceptions applies, in the event of a violation of its contractual obligations, APHC will compensate the damage to the extent that the participant can provide proof of fault – damage – causation. APHC is always obliged to help the participant in need. Any associated costs can be recovered from the participant, if the participant is responsible for the shortcoming.

APHC is not responsible for theft, damage or loss of personal belongings of the participant and cannot be held liable for this. APHC employees and monitors are not entitled to make any statement regarding liability on the part of APHC.

ART. 7/ INSURANCE

All our participants are insured by Sporta Team insurance.

Who is insured?

  • All participants of the sports camp
  • All volunteer employees (teachers, trainers, monitors, cooking parents, etc.) of the sports camp

When are you insured?

  • In all sporting and non-sporting activities organized during the sports camp
  • On the way to and from the sports camp
  • Worldwide

What are you insured for?

  • Physical accidents
  • Heart failure and strokes
  • Civil liability of participants and organization
  • Legal assistance

ART. 8/ COMPLAINTS

If the participant has a complaint before the travel agreement has been implemented, he must report his complaint in writing to APHC via info@aphcollective.be

Complaints during the specific period in which the activity takes place must be submitted on site to the APHC representation or reported in writing to APHC via info@aphcollective.be and this in an evidentiary manner. Complaints must be communicated to APHC in writing no later than 8 days from the incident to which the complaint relates.

ART. 9/ FOUND OBJECTS

Lost property will be kept by APHC for one month after the end of the camp. After this, APHC is entitled to no longer keep these objects and possibly transfer them to a good cause. APHC cannot be obliged to pay any compensation for lost property, either in the event of loss or damage.

ART. 10/ TRANSLATING COMMUNICATIONS

Communication with our participants takes place in English or Dutch. All our documents are only available in English.

ART. 11/ AGREEMENT

By agreeing via the form, the participant and signatory agree to these general terms and conditions. Obvious or technical printing errors are not binding for the organizer.

ART. 12/ PRIVACY

Privacy Legislation:
If you wish to participate in one of APHC’s activities, APHC will process your personal data. APHC strictly adheres to the provisions of the General Data Protection Regulation (AVG or GDPR). The data subject has the right to inspect and correct the stored personal data at any time.
